Terms and Conditions

These Terms and Conditions apply to every person registering to participate in the European Conference (hereafter referred to as “the conference”), organised by the European Conference on Collaborative Online International Learning (hereafter referred to as “Euro COIL Con” or as “the conference” at The Hague University of Applied Sciences (hereafter referred to as “the conference organisers”) on 1 and 2 December 2016. This includes guest speakers, presenters, and all other attendees.

1. Conference registration

Registration for the conference is exclusively online through the conference website (www.eurocoilcon.nl). The registration fee (285 euros) must be paid by credit card. Credit card processing fees may apply.

The registration fee includes entry to all conference sessions food and drinks during conferences sessions and a subsidized meal on 1 December 2016.

If the maximum capacity is reached, the conference organisers reserve the right to refuse additional registrations. Registrations are processed on a first come, first serve basis. In the event that the conference is full, potential participants can contact the conference organisers at coil@hhs.nl to be placed on a waiting list.

2. Registration confirmation/receipt

A registration confirmation/receipt will be sent by email after the registration has been completed on the conference website (www.eurocoilcoin.nl) and after a related payment and any necessary documents have been received by the conference organisers. Participants may be requested to present this registration confirmation/receipt at the registration counter as proof of their registration and payment.

3. Methods of payment

Payments should be made in advance and in EURO (€) only, using a credit card. Credit card payments must be made through the official conference website (www.eurocoilcon.nl).

4. Cancellation policy

The cancellation deadline for the conference is 15 November 2016. Cancellation requests can be made by sending an e-mail to the conference organisers at coil@hhs.nl.

 No cancellation request dated later than 15 November 2016 will be eligible for a refund.

Approved cancellation requests will be refunded in full, but processing fees may apply.

5. Cancellation of the conference

In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organisers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organisers, the conference organisers cannot be held liable by participants for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.

Under these circumstances, the conference organisers reserve the right to either retain the entire registration fee and to credit it for a future conference, or to reimburse the delegate after deducting costs already incurred for the organisation of the conference and which could not be recovered from third parties.

6. Modification of the programme

The conference organisers reserve the right to modify the programme. No refunds can be granted in case of cancellation of speakers, or any other incidents during the conference which are beyond the control of the conference organisers.

7. Data protection

Personal information provided during the registration process may be used to ensure that registration and payment for the conference are complete, a process that may require this data to be shared with third parties - and will be solely used for this purpose. The conference organisers reserve the right to retain personal information in order to keep participants informed about the conference and/or to contact participants with follow-up information or information about future events. Participants who do not wish to receive such follow-up information, can let the conference organisers know by e-mailing them at coil@hhs.nl.

Confidential data, including credit card information, will be handled in compliance with Dutch law and the Privacy policies of The Hague University of Applied Sciences

8. Release of rights for photography, video documentation and webcasting

The proceedings at the European Coil Conference will be documented on film and video and may also be webcasted, in whole or in part and conference participants may be included in photographs, videos or webcasts. Any resulting photographs, recordings or videos will be used for the organisers for non-commercial purposes, including – but not limited to – promoting future conferences or related activities, promoting Collaborative Online International Learning or promoting The Hague University of Applied Science. Such materials may also be posted on the conference website (www.eurocoilcon.nl) and on related social media channels.

The conference organisers cannot be held liable for any direct or indirect damages that would be caused due to the use of the Media Materials for the Specified Purposes within this declaration. Such possible damages include – but are not limited to – any damages caused during the creation of the Media Materials or as a result of an article, comment, social media post, opinion in which the Media Materials would be presented.

9. Release of rights to presentation content and materials

The conference organisers reserve the right to document any presentation, speech or other public performance during the European COIL conference in photographs, videos or other recordings and to retain copies of any materials used in the presentation, speech or other public performance. These photographs, videos or other recordings and/or presentation materials may be posted to the conference website and will be used for non-commercial purposes, including – but not limited to – promoting future conferences or related activities, promoting Collaborative Online International Learning or promoting The Hague University of Applied Science. Such materials may also be posted on the conference website (www.eurocoilcon.nl) and on related social media channels.

The conference organisers cannot be held liable for any direct or indirect damages that would be caused due to the use of the Media Materials for the Specified Purposes within this declaration. Such possible damages include – but are not limited to – any damages caused during the creation of the Media Materials or as a result of an article, comment, social media post, opinion in which the Media Materials would be presented.
